Fulfillment and Warehouse Services

Specifications include, but are not limited to: 2.Warehouse Managementa.Contractor shall have a secure, indoor warehouse space within the contiguous 48 states and have the ability to storeand organize at a minimum, 160 pallets of material, both printed and promotional. AOT has no capacity to keepinventory on hand.b.Each pallet will contain up to 4,500 boxes of printed material. Each box weighs between 25 35lbs.c.Contractor must have the ability to receive and store additional pallets and non-palletized material throughout theyear.d.Hours of Operationi.Monday through Friday excluding major holidays.e.Contractor shall provide an Online Order Entry System (OOES) or Warehouse Management System (WMS) toprocess bulk orders at time of award.f.Contractor shall have the ability to access, retrieve and update files via AOTs currently established ApplicationProgramming Interface (API) and process consumer collateral mailings at a minimum of two times per week.3.Collateral Fulfillmenta.Orders from consumers are received by AOT through the following methods: AOTs call center, reader service listingsleads (RSL) and AOTs consumer website, www.visitarizona.com. The requests from these three sources arecontinuously transferred to AOTs Customer Relationship Management (CRM) platform iDSS. iDSS is a cloud-basedCRM platform that AOT uses to manage fulfillment requests. iDSS employs an API between third-party systems tofacilitate fulfillment requests and orders. Contractor shall retrieve and update orders for fulfillment from iDSS at aminimum of two times a week.i.Contractor shall work with AOTs CRM platform vendor (iDSS) to implement a protocol to access, retrieveand update data files (orders) via API. All data files shall conform to standards as currently defined by AOT.Contractor shall work with AOTs CRM platform vendor (iDSS) to obtain access and data file standards uponcontract award.b.AOT currently provides the following collateral packets to consumers:i.Consumer Packet (0.558oz - Shipped via USPS Presort First Class l)1.One (1) Official State Visitors Guide (10.5x8.25, 88 page magazine)2.One (1) Official State Visitors Map (folded 3.75x8.25)3.One (1) Clear cellophane envelope (9x13)4.One (1) Printed Labelii.AOT Kids Activity Booklet Packet (Shipped via Bulk Presort)1.One (1) AOT Kids Activity Booklet (11x8.5, 16 page brochure weight .075oz)2.One (1) Clear cellophane envelope (9x13)3.One (1) Printed Labelc.AOT may add additional collateral packets during the duration of the Contract.d.Contractor shall accurately prepare, pack, address and mail AOT standard packets within 48 hours of retrievingorders from iDSS. The addressed standard pieces shall be posted on the Online Order Entry System (OOES) or Warehouse Management System (WMS) with the appropriate delivery agent within seven (7) business days ofretrieving orders.e.Contractor shall comply with all USPS regulations and seek to provide any service under the regulations which offersa reduction in costs or improvements in the reliability of the delivery including, but not limited to:i.USPS CASS certified address standardization and zip +4 coding of the packets.ii.POSTNET bar-coding in presort first class order for all packets to ensure maximum bulk mailing discountsas necessary.iii.Planet coding which can track packages to the local post office level.iv.International address standardization for packets sent outside of the U.S.f.Contractor shall provide AOT and their CRM platform vendor (iDSS), via API, up to date records that containshipment confirmation information for all standard fulfillment orders; including ship date and package information.This confirmation information shall be received within 2 business days of mailing.
