DOCUMENT IMAGING AND INDEXING

Specifications include, but are not limited to: Provide staff, equipment and software to facilitate the imaging and indexing of documents.oAdequate staff levels shallbe maintained to complete the identified scanning and indexing requirements oAdequate computing and scanning hardware to satisfy high speed imaging and related software and local storage requirementsoProper indexing must be provided on either a page by page or set of pages as appropriate. If no OCR (Optical Character Recognition) readable format is available, a scannable index control page will be generated for each document or set of documents or an alternate approach can be used as long as the documents are indexed appropriately.oComplete approximately 80% of the minimum estimated documents within the first term of the contract, documents will primarily consist ofstandard sizedtrooper case reports.Provide secure shipping of documents to the successful bidders secure facility.oThe large majority of documents are located in Anchorage, Alaskaat the DPS Headquarters, 5700 E Tudor Road, or the State of Alaska Scientific Crime Detection Laboratory, 4805 Dr. Martin Luther King Jr. Avenue.oA small subset of the documents islocated in Anchorage, Alaskaat commercial storage facilities or at remote locations, such as the Anchorage Fire Department training facility.oA small subset of the documents islocated at state facilities or commercial facilities in Juneau.oThe contractor shall provide a verification document to indicate each box shipped and received by the contractor.Provide a secure and safe environment to storedocuments while in possession.Provide images of scanned documents accompanied by a control table/file associating indexes to the image files. The control table/file must contain the index, the associated image(s) and preferably a unique row identifier.Return images in the PDF format previously describedReturn the control tables/files in format that can be easily imported into MS SQL Server. Tables and files must be returned through a secure method via a physical storage device or transmitted via a secure digital method meeting FIPS 140.2.Provide verification all documents have been imaged clearly and are legible when opened in a document reader.Provide for document destruction upon acceptancefrom DPSof imaged documents and control tables or files.
