Specifications include, but are not limited to: A. Pre-Planning:Key pre-planning activities include, but are not limited to: Working collaboratively with the DDC Policy and Law Committee, the Council staff and the full Councilon all facets of planning and presentation. Conducting outreach to community organizations to seek support for the event. Conducting site visits to the proposed site to ensure that the location is fully accessible. Establishment of a registration system for attendees, exhibitors, presenters, and vendors. Tracking and reporting planning progress to the DDC. Creation of an evaluation system (pre and post-test) for each session/activity. Tracking and securing special dietary requests and reasonable accommodations (interpreter, braille,etc.). Establishment and maintenance of a Facebook page, Twitter and Instagram for the event and for showingDisability Pride all year round (moderated by contractor and/or DDC). Creation and oversight of a pre-event social media marketing campaign, consisting of daily posts andphotos to build anticipation for the event as well as developing and distributing marketing materials bymore traditional means such as flyers and sending information by email listserv. Requesting inclusion of information/materials on related disability organizations websites, list serves,etc. Establishment of a registration website and database of attendees and type of attendee (e.g. person witha disability, parent, legislator, member of the general public, vendor, exhibitor). Tracking and securing all requests for reasonable accommodations, including transportation. Coordinating the provision of DART Paratransit tickets as requested by registrants who are registeredriders.B. Event planning and execution:Work collaboratively with the Developmental Disabilities Council, the Policy and Law Committee andthe Council staff to plan, coordinate and facilitate all details of a Disability Pride Day event in KentCounty, Delaware.Key planning activities to include, but not limited to: Work with the Policy and Law Committee and the full Council to plan and carry out activities for DisabilityPride Day, to be held in Kent County, Delaware. Recommended timing is late June, early July to coincide with the Americans with Disabilities Act (ADA)anniversary. Contractor will identify and secure a large, fully accessible site/venue in Kent County Delaware to holdthe event. Contractor will coordinate all details of identifying, reserving and ensuring full accessibility to eventlocation, and will secure all necessary permits for use of venue/location (e.g. the City of Dover for use ofLegislative Mall). Contractor will work with the Policy and Law Committee and Council to establish a set of event guidelines,to include volunteer duties, timing of events, placement of exhibits/activities, etc. Contractor will secure qualified volunteer staff for the event.C. Coordination of event activities, exhibitors and vendors:The DDCs federal funds cannot be used for entertainment purposes; therefore, the Contractor willwork with community partners to identify non-Council resources to cover the cost of any proposedactivities which would be purely for entertainment purposes. Multiple activities will be happening atthe celebration location throughout the day, some at the same time. The contractor will conductoutreach, follow-up and coordinate all details for the following proposed events: National or local speakers with disabilities will speak about their experiences on a topic determined bythe Policy and Law Committee (e.g. self-advocacy, overcoming obstacles, or provide guidance for peoplewithout disabilities regarding basic disability facts such as etiquette, etc.). Work with community partners to facilitate the organization of a Talent Show featuring Delawareperformers with disabilities. Work with the Governors Advisory Council for Exceptional Citizens to organize a screening of theBoundless! play. Identify and secure a provider for adapted fitness demonstrations (preferably an instructor with adisability) Coordinate of an art exhibit featuring art created by persons with disabilities, open throughout the day(no cost). Identify and secure an organization to lead adapted line dancing. Work collaboratively with assistive technology providers to present demonstrations of the latest availableassistive technology
