Specifications include, but are not limited to:Orange County desires to obtain the services of a qualified and experienced multimediarecords recovery services CONTRACTOR who can provide professional,technical services in the response and recovery of records damaged during any naturalor man-made disaster or emergency situation (i.e., fire, flood, hurricane, etc.) asrequired by the County. Approximately 80% of the records that might requireemergency restoration will be located in mid-Orange County. (Attachment C).This contract will not be applicable to computer systems.The volume of records to be considered for this Request for Proposals is undeterminedbased on a number of unknown elements, with the most critical being the number ofimpacted locations throughout the various Orange County sites.The Orange County Comptrollers Records Management has over 85,000 cubic feet ofinactive records in its warehouse. These records belong to the nine (9) ConstitutionalOfficers, a Board of County Commissioners, and over fifteen (15) departmentsconsisting of approximately 150 divisions throughout the County. While not a trueindicator of how many records are stored within each division at any given time, it isexpected that an average of 100-200 cubic feet of active records are stored at eachdivision (1-2 fiscal years worth of records).All services to be provided under this contract must be authorized by the OrangeCounty Comptrollers designated representative or designee before any work isperformed.There will be no retainer paid in order to keep the contract in effect. The resultingcontract will be on an as-needed basis and used only in case of a disaster oremergency as so deemed by the County. The Contractor shall provide 24 hours perday, 7 days per week emergency response service. Response by phone after the firstnotification shall be within 2 hours. The Contractor shall have a representative on siteafter first notification within six (6) hours with the necessary equipment to be transferredwithin twelve (12) hours.
