Specifications include, but are not limited to:AUSTIN COMMUNITY COLLEGE DISTRICT (ACC) desires to establish a contract with a company that specializes in data cleansing and data appends to verify and update student alumni records. To assist with the quality control, ACC would also like to request that potential contractors conduct a search on a sample collection of data records. 1.0Background Information: ACCs database of alumni is made up of almost 45 years of former student records that were collected from various other databases by ACCs IT department, and its estimated to contain up to 350,000 records. Unless the former students have registered for courses at ACC, their contact information has not been updated.The alumni database consists of rudimentary contact information, such as addresses, phone numbers, life status (alive or deceased), birthdates, e-mail addresses. Employer information, life status (alive or deceased) and birthdates have not been tracked in the college records previously, but ACC anticipates collecting this information with the contracted services. Some, though not a majority, of the records are complete and accurate. ACCs goal in cleansing the data is to produce an accurate and reliable list of the colleges alumni for the purposes of engaging them in various activities to support the school and its current students. 2.0Proposer Minimum Qualifications 2.1The Proposer shall have a minimum of three (3) prior years experience related to the RFP scope. 2.2 Public sector and prior experience with ACC references preferred. Experience providing similar services to higher education entities is preferred but not mandatory. 3.0Scope of Services The Proposer shall carefully examine these minimum specifications and ensure Proposers plan captures these specific tasks and others as proposed by successful vendor for a complete service for meeting expected outcomes by ACC. Data cleansing is the process of amending or removing data in a database that is incorrect, incomplete, improperly formatted, or duplicated. ACC intends hire a contractor to detect and remove errors and inconsistencies from data in order to improve the quality of the data. The proposer shall provide services as required in the RFP including but not limited to: labor, materials, supplies, tools, supervision, transportation and other related services as required. 3.1 Minimum Service Requirements. 3.1.1 Contractor shall research, de-duplicate, correct, and append data as required for all ACC data file assignments using best of class methods and a variety of databases and verification methods. ACC will provide data file assignments as needed. A single or multiple data files (if separate assignments) may be provided to Contractor for performing work under the contract term. ACC data will be provided to Contractor formatted in Comma Separated Values files (CSV.file). 3.1.2 Cleansing of ACC data files shall include, but not be limited to: Address verification and 48-month NCOA. Identify current correct physical addresses of alumni. Landline verification. Correct current home phone numbers. Last Name Change verification. Correct alumni name changes for men and women. Deceased status verfication. Correct status of any alumni currently deceased. Birthdate Append. Verify and ascertain the alumnis birthdate. Email Append. Research and provide current e-mail for alumnis
